Me and my lifesaver Evernote
As an keen user of Evernote and also advocating the use of Evernote I decided to put together a little How To about Evernote, collecting thoughts and ways to use it.
A little story from my everyday life: A couple of months ago I had a Harddrive crash on my computer, and we all know what an horrible experience that is. And since I still had Warranty on my computer I had to wait for about a week to get an replacement HD. So what to do? I remembered that I had an Ubunto Live CD laying around somewhere, found it and I had an working computer (sort of) and at this point I was lucky to have all my important notes in Evernote, as I could access them through the web-interface. So Evernote surely saved my life that week, as I could make my notes, do webclips etc and go on with my online activities almost untouched. So for me an online life without Evernote isn’t possible anymore.
For you that doesn’t use it yet I will start of with a description what Evernote is.

“Evernote is a web service and software application that allows users to capture information of various types using the Evernote desktop, mobile, and web clients. In Evernote, users can create text notes, mobile phone snapshots, web clips, and digital ink. All data added to Evernote are run through a series of recognizers that make any text within the various note formats search able. Users may organize their information by creating folders, categories, notebooks, or tagging their notes. Evernote automatically adds meta-information to notes such as date, time and geo-location.
For capturing content beyond direct text and digital ink input, Evernote uses a system of Clippers (Web, Mail, and Universal Clippers) and supports drag-and-drop, cut, copy, and paste, and import/auto-import capabilities.
AI technologies used in the Evernote application for recognition, indexing and search purpose include AIR (Advanced Image Recognition) for search of typed and handwritten text in images captured on camera phone or scanner; and ANR (Advanced Notes Recognition) for search in digital ink notes captured on pen-enabled devices like Pocket PC, Tablet PC, Ultra-Mobile PC, and digital paper, amongst others. AIR technology is optimized for recognition of low quality images. In contrast to AIR, ANR technology provides not only search capability, but also outputs handwriting recognition results for ink notes; ANR can also automatically smooth and align freehand shapes and charts.
Evernote categories include Automatic, Manual and Keyword (Saved Searches). Categories are automatically assigned to notes based on attributes such as content type, date range, etc.
Evernote is a subscription service, offering free and premium tiers. Premium subscribers receive higher monthly upload allowances and are able to attach files to their notes.” ( Wikipedia)

HowTo – Some notes on how to use Evernote

First of all, this HowTo is not intended to be covering all aspects of how to use Evernote, there’s so many ways to use it that I couldn’t in my wildest dreams be able to cover it all.

1. Taking notes, formatting and plain writing

The meny looks like this when you start a new note from within Evernote

Here you can choose how you want too format your writing, and this is the basics you need to start your new note in Evernote (As you can see I’m pre-writing this post in Evernote!) To get your headline of the note you write that on the first row and that’s it.

You can format the Text any way you like it, and use combinations of all the previously shown styles here.

Or Right align

Or spread it across the side

You can make the text be

Indent like this also, good for lists

And of course have diffrent colors of the text to make it more visual

So in all the tools needed are available there for you to make successful list, journals, and whatever you need. YOu can also past pictures and soundfiles etc into the document to have everything together in the same document.

2. ToDo List

Its very simple to do ToDo list in Evernote, follow this steps:

  1. Rightclick -> ToDo -> Insert Checkbox  or Ctrl+shift+C (Alt and click) to insert a checkbox
  2. Write the content next to that checkbox
  3. Finished

Check if finished!

3. Encrypt and Decrypt parts or all of an note

Follow these steps

  1. Mark the selected part of the note
  2. Rightklick and choose Encrypt Selected Text (or Ctrl+shift+P)
    Then you get this box where you choose Password for the selection. (Note: Evernote corp can not help you if you loose you pass!)

  3. Press okay and now that part of the note looks like this

    To Decrypt it just
  4. Doubleclick on that image, then a new box pops up looking like this

  5. Enter the password and the text is right back again
  6. To remove the encryption permanently just rightclick on that image and choose decrypt permanently.

4. Webclipper

With the webclipper installed in your browser you can clip whole or parts of a page down into either Evernote the client or if you are on an other computer to the web database.
You use it either via an AddonButton (Firefox, Thunderbird and Flock ) or via the Web clipper bookmarklet.

The look when you use the Web clipper bookmarklet looks like this:

Then when the clip is prepared it looks like this

And as you can see you can add tag’s, and choose where the clip will be stored (in which notebook) and add a short text about the clip.

5. Clipping Panel

The clipping panel is an excellent tool when you want to clip screenshots, or parts of a screen, like the ones I have here in my post, all done with the clipping panel. Since its resizable you can make it as small or large as you want and it’s not limited to be used on the web you can use everywhere on the computer and in any application. Ie excellent for making manuals, HowTo’s and so on.

6. Other ways to add stuff to Evernote

  • Email it! I use that from MY mobile as there’s no S60 application yet
  • Use your mobile (Iphone, Palm and Blackberry applications exists so far)
  • Tweet it! – You add @myEN and then you can send your tweets to your Evernote account
  • Scan it! – Use your scanner to add your important stuff to Evernote
  • Import you PDF’s to Evernote, and have them accessed all over the world.

7. Share and cowork with Evernote

Recently Evernote added the possibility to cowork and share interactively your notes. An excellent way to crowdsource in a secure environment! (Premium account only!)
The way you do it is like this:

Using Evernote Web, you can now specify individuals that are permitted to view, and in some cases modify, your notebooks.

How it works

In your Evernote Web account, you will see a new, blue Sharing section in the navigation panel. Click on “sharing setup” to begin the process of sharing your notebooks. Select the notebook you wish to share, then decide whether to share that notebook with individuals or the world. (From Evernote BlogCast)

There are two additional options under the “Share with individuals” category:

  • Share with individuals (view only)
  • Share with individuals (view and modify) – Evernote Premium feature

For added security, you can require log in, which means that the unique link in the email your invitees receive can only be used by a single person and they’ll be asked to log in before seeing your notes.

Modify my notes (Evernote Premium only)

While all users get the ability to share their notebooks, Evernote Premium subscribers can also grant modification privileges: add, edit, and delete notes. You don’t need to be Premium in order to perform the modification, but you must be Premium in order to allow for modification of your notebooks. It’s important to note that any additions will affect the notebook owner’s monthly upload allowance. Learn more about Evernote Premium »

Linking notebooks into your account

We also made it really simple to keep track of any notebooks that have been shared with you. Whenever you visit someone’s shared notebook, you will see a “Link this to my account” button in the top right corner. Clicking that will add the notebook to your Evernote Web sharing section so you can jump back to the notebook any time you like. Try it now by linking this aspiring super villain’s notebook into your account.

8. Other ways to share your notes

You can email notes directly from Evernote.

  • Select a note
  • Click the Email button in the icon bar
  • Enter an email address and an accompanying note
  • Click OK to send the message

About Tagging

I tag all my notes in Evernote and it’s a good proctice to do so at all time, so when you start using Evernote do it from the beginning. And keep that good practice at all times, that way you will have better control of your notes!
